Privacy Policy
TranscriptX is committed to protecting your privacy while providing secure, reliable, and AI-powered transcription services.
Last updated: 2026-10-21
This Privacy Policy explains how TranscriptX collects, uses, and protects information when you access or use our AI transcription platform.
By using TranscriptX, you acknowledge and agree to the practices described in this Privacy Policy.
We are committed to handling your information responsibly while providing secure and reliable AI transcription services.
About TranscriptX
TranscriptX is an AI-powered transcription platform that helps users convert video and audio into accurate transcripts, subtitles, captions, and AI-generated summaries.
Our platform includes tools such as AI Transcription, Video to Text, Audio to Text, YouTube Transcript, TikTok Transcript, Instagram Transcript, Facebook Transcript, Subtitle & Caption generation, and AI Summarization.
Most features can be used directly from your browser without creating an account or installing software.
Information We Collect
When you visit TranscriptX, certain technical information may be collected automatically to help operate and improve our platform.
This information may include your IP address, browser type, operating system, device information, approximate location, pages visited, referring pages, and timestamps.
We use this information to improve platform stability, monitor performance, detect security issues, and enhance the overall user experience.
Media Files and AI Processing
TranscriptX allows users to upload video and audio files or use supported online transcription tools to generate transcripts, subtitles, captions, and AI summaries.
Your content is processed only to provide the requested AI transcription and related features.
If you choose to translate a transcript, the text of that transcript — never your audio or video — is sent to an AI language-model provider (such as Groq) only to create the translation. The translation is saved with your transcript and is deleted whenever that transcript is deleted.
TranscriptX is an AI processing platform and is not intended to operate as a public file hosting, publishing, cloud storage, or media sharing service.
We do not claim ownership of any media files, transcripts, subtitles, captions, summaries, or other content processed through our platform.
Transcript Storage, History and Retention
Finished transcripts are saved into sessions — a session groups the transcripts you create in one flow, so you can come back to them later from the History sidebar on the same device.
If you use TranscriptX without signing in, your history is tied to an anonymous identity stored on that device. Anonymous sessions expire automatically: a session is removed after a period of inactivity (currently 90 days since its last transcript) and in any case after a maximum age, after which it is scheduled for permanent deletion. Signing in with Google keeps your history for as long as your account exists and makes it available on any device you sign in on.
You can delete your data at three levels at any time: a single transcript, a whole session, or everything at once ("Delete all my data", which also deletes your account). Deletion takes effect immediately — deleted items stop being available right away — and the underlying data is permanently purged from our systems within 24 hours.
On shared or public devices, remember that anonymous history is visible to anyone using the same browser profile. Use "Delete all my data" before handing the device over, or use a private browsing window.
How We Use Your Information
Information collected by TranscriptX is used to provide and improve our AI transcription services, maintain platform security, optimize performance, diagnose technical issues, and enhance product quality.
We may also use aggregated and non-identifiable usage statistics to better understand how users interact with our platform and prioritize future improvements.
We also keep a simple activity log of key steps — pages you visit, where you came from (for example a search engine, an AI assistant or a link), starting a transcription, reaching a free limit, and starting or completing an upgrade — linked to a random ID stored in your browser and, if you have one, your TranscriptX account. It never contains your email or the content of your media and transcripts, network addresses are stored only in a one-way scrambled form, it is deleted automatically after 90 days, and it is erased together with your account when you delete it. We use it only to understand where people get stuck and improve TranscriptX.
If you are signed in and leave the page before a transcript finishes, we may send you one email when it is ready or could not be processed. These emails are sent through our email provider (Resend), contain only the transcript title and its first lines, and every email has a link to stop them.
If you have a paid plan, we keep a minimal usage record — when each transcript was delivered, its length, source type, country, IP address and a device identifier, never the content — for up to 18 months, even after you delete your account, so we can respond to payment disputes and chargebacks.
We do not sell your personal information to third parties.
Cookies and Similar Technologies
TranscriptX may use cookies and similar technologies to improve website functionality, remember user preferences, maintain sessions, and analyze platform performance.
To keep free transcription fair for everyone, we set one small first-party cookie that identifies your browser as a device. It only counts how much free transcription time is used each day; it is not used for advertising and is not shared with third parties. We also count daily free usage per network (IP address) and, when you are signed in, per email address, stored only as a one-way hash. These daily counters are deleted automatically after two days.
You may manage or disable cookies through your browser settings, although doing so may affect certain features of the website.
Data Security
We implement reasonable technical and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, or misuse.
Our team continuously works to improve the security and reliability of TranscriptX.
While we strive to protect your information, no internet-based service can guarantee absolute security.
Third-Party Services
TranscriptX may use trusted third-party providers for cloud infrastructure, analytics, security, content delivery, payment processing, or other operational services.
These providers only process information when necessary to support our services and are subject to their own privacy and security practices.
Using TranscriptX in ChatGPT and Claude
You can connect TranscriptX to AI assistants such as ChatGPT and Claude (an MCP connector). The connector only transcribes: when you ask the assistant to transcribe something, it sends TranscriptX the link or the file you chose, and TranscriptX returns the transcript to that conversation.
What we receive: the link or media file you asked to transcribe, the language hint the assistant passes along, and — if you sign in — your Google account's name and email. If you use the connector without signing in, we keep a guest identity together with your IP address and a device identifier so daily free limits can be applied fairly. We do not receive your other chat messages or your conversation history.
How it is used: only to transcribe, to show the transcript and its status in the conversation, and to save it to your TranscriptX history. The transcript text is sent back to the assistant you are using, and from then on that assistant's own privacy policy applies to it.
How long we keep it: uploaded media files are deleted automatically within 12 hours. Transcripts follow the retention rules above — a guest's transcripts expire after 90 days without use, and signed-in transcripts stay until you delete them. Connector sign-in tokens expire after 60 days without use, and you can disconnect at any time from the assistant's connector settings.
Your choices: you can delete any transcript, session, or all of your data in TranscriptX at any time, as described above, or email us to ask for access to or deletion of your data.
Children's Privacy
TranscriptX is not intended for children under the age of 13.
We do not knowingly collect personal information from children.
If you believe that a child has submitted personal information through our platform, please contact us so we can take appropriate action.
Changes to This Privacy Policy
We may update this Privacy Policy periodically to reflect changes to our AI transcription services, legal requirements, or operational practices.
The latest version will always be available on this page.
Your continued use of TranscriptX after changes are published constitutes acceptance of the updated Privacy Policy.
